Privacy Policy

This Privacy Policy explains how KADO HQ LLC, a Michigan limited liability company (“Kado,” “we,” “us,” or “our”), collects, uses, and shares information when you use our products — including Kado Bot (the Discord application and public leaderboard) and Kado HQ (the agency platform) — together with our websites (the “Service”). By using the Service, you agree to this Policy.

1. Information We Collect

• Discord account information. When you log in with Discord, we receive your Discord user ID, username, and avatar. We use the Discord “identify” scope only — we do not request your email or message content from Discord.
• Agency information. Information you provide to set up and run your agency, such as agency name, brand assets (logo, colors, bot name), and the Discord server and channels you connect.
• Production data. The sales and activity data you and your agents submit — deals, monthly and annualized premium, carrier/company names, agent display names, goals, and related leaderboard and recap data.
• Payment information. Subscriptions are processed by Stripe. We do not receive or store your full card number; Stripe handles payment details. We store identifiers such as your Stripe customer and subscription IDs and your subscription status.
• Technical information. Limited technical and usage data needed to operate the Service, including essential cookies (see below) and server logs.

2. How We Use Information

• provide, operate, and maintain the Service (leaderboards, deal posts, goals, recaps, and your branded board);
• process subscriptions and billing through Stripe;
• secure the Service, prevent abuse, and enforce our Terms;
• provide support and respond to your requests;
• understand and improve how the Service performs.

We do not sell your personal information, and we do not use it for third-party advertising.

3. How We Share Information

• Within your agency. Production data is shared with the members and administrators of your agency, which is the core purpose of the Service (leaderboards are visible to your team).
• Service providers (subprocessors). We share information with vendors who help us run the Service: Discord (authentication and bot delivery), Stripe (payments), Supabase (database hosting), Vercel (website hosting), and Railway (bot hosting). They process data only to provide services to us.
• Legal reasons. We may disclose information if required by law or to protect the rights, safety, and security of our users or the Service.
• Business transfers. Information may be transferred as part of a merger, acquisition, or sale of assets, subject to this Policy.

4. Cookies

We use a small number of essential cookies — a sign-in session cookie (via Discord login) and a preference cookie that remembers which agency you are viewing. These are necessary for the Service to function. We do not use advertising or cross-site tracking cookies.

5. Data Retention

We retain your information for as long as your account or agency is active and as needed to provide the Service. After cancellation, we may retain certain information as required for legal, accounting, or security purposes, after which it is deleted or anonymized. You may request deletion of your data as described below.

6. Security

We use technical and organizational measures to protect your information, including access controls that isolate each agency’s data, row-level security on our database, and encryption of data in transit. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.

7. Your Rights & Choices

You can access and update much of your data directly in the Service (for example, editing agency settings or removing deals). Depending on your location, you may have rights to access, correct, delete, or export your personal information, or to object to certain processing. To make a request, contact us at support@kado-bot.com. You can also cancel your subscription at any time from your billing settings.

8. Children’s Privacy

The Service is intended for businesses and is not directed to children. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us information, contact us and we will delete it.

9. International Users

The Service is operated from the United States and our service providers may process and store information in the United States and other countries. By using the Service, you understand your information may be transferred to and processed in these locations.

10. Changes to This Policy

We may update this Policy from time to time. We will update the “Last updated” date above and, for material changes, provide additional notice where appropriate.
